Who you are:  

The Home Office Executive Assistant is responsible for supporting the smooth day-to-day operation of the Home Office. They are also responsible for acting as a key support member to two senior leaders. They are responsible for coordinating administrative processes, maintaining an organized and welcoming office environment, and serving as a central point of contact for employees, operators, visitors, vendors, and cross-functional partners. You are organized, a strong communicator, detail-oriented, and take a proactive approach to solving operational needs before they become issues. This role is primarily based in the Home Office and requires consistent on-site presence during regular business hours, with occasional early morning or evening support.

What you’ll do: 

  • Consistently support a culture of Enlightened Hospitality
  • Welcome employees, visitors, candidates, and vendors and ensure a professional, hospitality-focused experience
  • Manage daily office operations, including meeting room readiness, supply inventory, mail, deliveries, office equipment, and shared spaces
  • Support two senior leaders with calendar & scheduling, coordination and reporting projects with a keen understanding of operational needs
  • Manage expense reports for two senior leaders
  • Coordinate office communications, calendars, meeting logistics, and room reservations to support team productivity
  • Act as a reliable resource for all stakeholders, which allows others to depend on you to “find the yes”
  • Partner with building management, facilities teams, IT, security, and external vendors to resolve workplace needs, repairs, and service requests
  • Support office activities, including workspace preparation, access coordination, office orientation, and equipment readiness
  • Assist with planning and setup for internal meetings, trainings, employee events, leadership visits, and office-wide activities
  • Maintain accurate office records, vendor documentation, invoices, contact lists, and administrative files
  • Help reinforce office policies, safety procedures, expectations, and a clean, organized workplace environment
  • Identify opportunities to improve office routines, administrative processes, and employee experience

What we need from you: 

  • Associate or bachelor’s degree preferred
  • 2–4 years of administrative, office coordination, hospitality, facilities, or customer service experience preferred
  • Excellent verbal and written communication skills with a professional, service-oriented presence
  • Strong organizational skills with the ability to prioritize, multitask, and follow through in a fast-paced environment
  • High attention to detail and ability to maintain accurate records, schedules, and documentation
  • Proficiency with Microsoft Office, Outlook, Teams, and general office technology; ability to learn new systems quickly
  • Ability to work independently, exercise sound judgment, and handle confidential information appropriately
  • Comfortable coordinating with employees at all levels, external vendors, and building or service partners
  • Ability to move throughout the office, prepare meeting spaces, receive deliveries, and occasionally lift or move office supplies
